Position Overview:

We’re on the hunt for a Marketing Project Coordinator who is just as passionate about creative thinking as they are about keeping projects on track. Key Responsibilities/Ideal Skills:
- Project Support: Assist project managers in planning, scheduling, and overseeing marketing campaigns, content creation, and creative projects from conception to completion.
- Timeline Management: Monitor project timelines, ensuring all tasks and deliverables are met according to schedule and flagging any potential risks or delays for the project manager.
- Resource Coordination: Collaborate with internal teams, including designers, copywriters, and digital marketers, to allocate resources effectively and ensure smooth workflow.
- Documentation & Reporting: Create and maintain project documentation, including timelines, meeting minutes, and status reports, ensuring all stakeholders are aligned.
- Budget Tracking: Monitor project budgets and expenses, ensuring accurate reporting and alignment with project financial plans.
- Task Management: Assign and track tasks for the client team, using project management tools like Asana to ensure accountability and completion.
- Quality Control: Review deliverables before they are sent to clients, ensuring consistency with brand guidelines and overall project quality.
- Problem Solving: Identify and resolve project issues or conflicts that may arise, finding creative solutions to keep projects on track.
- Vendor Coordination: Communicate with external vendors, freelancers, and production teams as needed to support project needs and ensure timely delivery of outsourced work.
- Client Presentations: Assist in preparing client-facing presentations and reports, ensuring clear and effective communication of project updates and results.
- Process Improvement: Recommend and implement improvements to project management processes and workflows to increase efficiency and overall team productivity.
- Collaborative Spirit: Strong team player who enjoys working with diverse groups, including designers, copywriters, and strategists, to ensure seamless project execution.
- Client-Focused Mindset: Passion for understanding client goals and helping tell their brand stories in ways that resonate with their audiences.
- Adaptability: Comfortable working in a rapidly evolving marketing landscape, able to pivot quickly and adjust to changing client or project needs.
- Technologically Savvy: Knowledge of key marketing tools and platforms and ability to quickly learn new software or systems as needed.
- Enthusiasm for Hospitality and Tourism: Passionate about the travel, tourism, and hospitality industry, with a genuine interest in helping brands in these sectors succeed.
Work Environment
The Project Coordinator should be aware that:
- They are expected to be in the office during traditional work hours.
- We expect everyone to be on time for every client meeting, virtually or in person, and early arrival is preferred.
- Time will be spent in client offices and meeting rooms working with various teams.
- They may be asked to work hours outside the regular business day to complete projects on time.
- The work environment will be dynamic, and expectations or needs can change, requiring flexibility.
- There must be a willingness to travel and work remotely as required.
